PMS HOW-TO Manual

Click on any role tab below to see their exact duties, functions, and click-by-click instructions in the ODFEL Project Management System.

Student Accountabilities: Enrolment, Fee Payment, Topic Proposals drafting, Chapter draft uploads, corrections resubmission, supervisor real-time chats, receipt printing, and AI Help consults.

Adding your phone number and cropping your profile photo are strictly compulsory before payments can be unlocked.

Exact Click-Stream Flow:
  1. Register a student account at register.php.
  2. Log in using your registration number and password.
  3. Go to the My Profile page from the sidebar menu.
  4. Input your valid Phone Number into the compulsory required input.
  5. Hover over the circular passport avatar frame and click the **Change** camera overlay (or click **Choose Image**).
  6. Browse and select your photo in your local file explorer.
  7. Rotate the image using the rotation buttons in the Cropper.js modal as needed.
  8. Adjust the square selection box (which enforces a strict 1:1 aspect ratio) over your face.
  9. Click the green **Crop & Confirm** button to lock in the cropped avatar picture.
  10. Finally, click the green-gradient **Save Profile Changes** button to submit the updates to the server.

Submit fees online via Paystack to unlock project draft submissions and advisor assignments.

Exact Click-Stream Flow:
  1. Log in -> Look at the top of the dashboard for the payment warning notification.
  2. Click the yellow **Pay Now** button in the warning alert (or select **Payment** in the sidebar menu).
  3. Review the calculated project fee amount for your program pathway.
  4. Click the green **Pay with Paystack** button.
  5. You will be securely redirected to the Paystack payment portal page.
  6. Select your preferred option (Card, Bank Transfer, USSD, or QR) and input credentials.
  7. Authorize the transaction. Once verified, you will be redirected back to your dashboard automatically.

Upload up to three proposed research project titles for reviews.

Exact Click-Stream Flow:
  1. Login -> Click **Submit Work** in the left sidebar menu.
  2. Select the **Proposal/Topic Submission** tab in the main tab bar.
  3. Enter your proposed Topic 1, Topic 2, and Topic 3 details in the form textareas.
  4. Check the inputs for typos and grammatical structure.
  5. Click the primary **Submit Proposal** button at the bottom of the form.

Submit drafts of Chapters 1 to 5 and the final document sequentially for supervisor review.

Exact Click-Stream Flow:
  1. Dashboard -> Click **Submit Work** in the left sidebar.
  2. Select the **Chapter Submission** tab in the main tab bar.
  3. Select the Chapter Number (e.g. Chapter 1, Chapter 2, etc., or Final Report) from the dropdown.
  4. Click **Choose File** and browse to select your project document in PDF format.
  5. Click the blue **Submit Draft** button to send to your supervisor.

Monitor your project timeline progress and resubmit revised chapter drafts flagged for correction.

Exact Click-Stream Flow:
  1. Dashboard -> Click **My Submissions** in the left sidebar.
  2. Locate the chapter row flagged with the blue *Corrections Requested* status.
  3. Click the **View Comments** button to read your supervisor's correction requests.
  4. Prepare your revised draft PDF -> Click **Submit Correction** underneath that specific chapter.
  5. Upload the updated PDF and submit to instantly re-notify your supervisor.

Communicate directly in real-time with your assigned academic advisor to discuss guidelines or clarify chapter comments.

Exact Click-Stream Flow:
  1. Dashboard -> Click **Chat with Supervisor** in the left sidebar menu.
  2. Your assigned supervisor's chat area will open automatically.
  3. Type your message or clarification query into the chat text input.
  4. Click the **Send** button to transmit your instant message.

Exact Click-Stream Flow:
  1. Dashboard -> Click **AI Project Helper** in the left sidebar menu.
  2. Type research structural or citation formatting queries in the chat text area.
  3. Click **Send** to see conversational guidelines responses printed instantly.
  4. To access official PDF rules: Click **View Department Guide** in the top helper banner to view the guide PDF inline.
  5. Navigate previous chat history seamlessly via the **Saved Chats** dropdown.

Track institutional alerts, final topic approval updates, or seminar timeline announcements.

Exact Click-Stream Flow:
  1. Dashboard -> Click **Announcements** in the left sidebar menu.
  2. Browse a chronologically ordered list of active institutional broadcast cards.
  3. Identify announcements targeted directly at your program stream (ND/HND) or department.
Supervisor Duties: Assess proposed topics, review weekly chapter submissions, track supervised student workloads, record seminar grades, and chat with students in real-time.
1. Assess Topic Proposals

Grade student topics to choose the most viable research line.

Click Flow: Dashboard -> Scroll to **Allocated Students** -> Click **View Submissions** -> Scroll to Proposals -> Add Review Comments -> Click **Approve** on the best title.
2. Review Weekly Chapters

Read chapter drafts, write corrections comments, and update progress status flags.

Click Flow: Dashboard -> Pending Reviews alert banners -> Click **Review Now** -> Read student PDF -> Type feedback -> Select **Approve** or **Corrections Requested** -> Click **Submit**.
3. Track Supervised Progress

Analyze sequential chapter roadmaps of HND assignees and ND Groups instantly via real-time progress blocks.

Click Flow: Go to Dashboard -> Scroll to **Allocated Students** -> Toggle ND Groups/HND Students -> Click **View Submissions** to monitor active chapter roadmaps.
4. Seminar & Oral Defense Appraisals

Record grades and panel comments for academic presentations if appointed to assessor panels.

Click Flow: Click **My Assessments** in sidebar -> Select Student Presentation -> Input performance metrics and comments -> Click **Submit Grades**.
5. Direct Instant Chat

Exchange real-time instant messages with any of your supervised students.

Click Flow: Click **Chat** in sidebar -> Select student name from list $\rightarrow$ Type your message $\rightarrow$ Click **Send** to transmit instantly.
6. Announcements & View Grades

Track system broadcast notifications and audit final grades of your assigned students.

Click Flow: Click **Announcements** to read notices OR Click **View Grades** in sidebar to audit academic transcripts logs.
Departmental Coordinator Duties: User accounts enrolment, supervisor allocations, final topic approvals, submissions auditing, oral defense scheduling, panel appraisals, supervisor latency tracking, guidelines configurations, dynamic announcements broadcasting, and financial logs checks.
1. Enrol Students & Supervisors

Enrol new supervisor accounts manually and batch import student rosters via CSV templates.

Click Flow: Go to **Students** $\rightarrow$ **Manage Students** or **Import Students** (upload CSV roster) OR **Supervisors** $\rightarrow$ **Add Supervisor** to register manual staff.
2. Allocate Supervisors

Assign academic supervisors to HND students individually or ND groups, balancing advisor workloads.

Click Flow (HND): Click **Manage Students** $\rightarrow$ Click **Allocate Supervisor** on student row $\rightarrow$ Select advisor $\rightarrow$ Save. Click Flow (ND): Click **ND Groups** $\rightarrow$ Click **Allocate Advisor** on group row $\rightarrow$ Select advisor.
3. Grant Final Topic Approval

Review research proposals approved by supervisors and grant institutional coordinator approvals.

Click Flow: Dashboard $\rightarrow$ Proposals table $\rightarrow$ Click **View** $\rightarrow$ Add comments $\rightarrow$ Select **Approved** or **Rejected** $\rightarrow$ Click **Submit Decision**.
4. Submissions & Milestones Audit

Review all uploaded drafts and view real-time research milestone completion metrics across students.

Click Flow: Click **All Submissions** in sidebar (view uploads) OR **Progress Monitoring** $\rightarrow$ Browse student completion grids.
5. Seminar & Defense Allocation

Configure oral presentation dates, assign timeslots, and map panels of supervisor assessors.

Click Flow: Click **Seminar Allocation** or **Defense Allocation** $\rightarrow$ Choose student, date, hour, hall $\rightarrow$ Select panel assessors $\rightarrow$ Save.
6. Appraisals & Results Export

Record assessor panel grades, check students' results, and export grading reports.

Click Flow: Click **View Seminars** or **View Defenses** $\rightarrow$ Click **Grade Presentation** $\rightarrow$ Record marks $\rightarrow$ Go to **Student Results Portal** $\rightarrow$ Click **Export CSV**.
7. Monitor Supervisor Turnaround

Track supervisor review latency timelines, active backlogs, and find developmental bottlenecks.

Click Flow: Click **Supervisor Monitor** in sidebar $\rightarrow$ Review overall KPIs $\rightarrow$ Click **Monitor** on supervisor row to view turnaround logs.
8. Project Guide Settings

Configure and upload PDF guidelines immediately mapped to student dashboards and AI chats.

Click Flow: Click **Project Guide** in sidebar $\rightarrow$ Select department $\rightarrow$ Browse PDF file $\rightarrow$ Click **Upload Guide**.
9. Announcements & Chat

Broadcast targeted departmental news announcements and exchange instant messages in real-time.

Click Flow: Click **Manage Announcements** $\rightarrow$ **Create Announcement** $\rightarrow$ Broadcast news OR Click **Chat** to message supervisors/students.
10. Financial Logs & Platform Analytics

Track student payment registries, search dynamic transaction refs, and inspect high-level platform statistics.

Click Flow: Click **Payments** in sidebar $\rightarrow$ Browse collection lists and transaction refs OR Go to **System Analytics** $\rightarrow$ Inspect interactive KPI charts.
Super Coordinator Duties: Global program management, settings parameters configurations, databases oversee, guidelines mappings, advisor allocations, financial logs audits, supervisor response latency monitoring, milestones progress tracking, presentations venue and schedule allocations, and dynamic targeted broadcasts.
1. Programs & Departments

Configure overall academic departments, programs, and map structural coordinators.

Click Flow: Click **Manage Departments** or **Manage Programs** $\rightarrow$ Click **Add New** $\rightarrow$ Map coordinator supervisor $\rightarrow$ Save.
2. Parameter Settings

Configure global configurations, student profile edit gates, and registration rules.

Click Flow: Click **Settings** in the sidebar $\rightarrow$ Toggle parameters (e.g. *Allow Student Edit Profile*, *Force Group Payments*) $\rightarrow$ Click **Save Settings**.
3. User Databases & Batch CSV

Oversee student & supervisor registries, passwords reset, and import student rosters via CSV.

Click Flow: Go to **Students** $\rightarrow$ **Manage Students** or **Import Students** (upload template CSV) OR **Supervisors** $\rightarrow$ **Add Supervisor** to create staff manually.
4. Project Guide Mappings

Configure and upload PDF guidelines immediately mapped to student dashboards and AI chats.

Click Flow: Click **Project Guide** in sidebar $\rightarrow$ Select department $\rightarrow$ Browse PDF file $\rightarrow$ Click **Upload Guide**.
5. Global Advisor Allocations

Balance advisor student workloads and allocate academic advisors to ND groups or HND students.

Click Flow: Click **Manage Allocations** in sidebar $\rightarrow$ Select Student/Group and Supervisor $\rightarrow$ Click **Save Allocation**.
6. Payments & Revenue Audits

Audit dynamic financial collections and override manual payment validations.

Click Flow: Click **Payments** in sidebar $\rightarrow$ Check stats charts $\rightarrow$ Search transaction reference $\rightarrow$ Click **Mark as Paid** to manually override.
7. Audits Performance Latency

Audit supervisor responsiveness latency, workloads balance, and overdue review pipelines.

Click Flow: Click **Supervisor Monitor** in sidebar $\rightarrow$ Filter by department $\rightarrow$ Click **Monitor** on supervisor row to view detailed latency logs.
8. Submissions & Milestones Audit

Read uploaded chapters, check individual milestone grids, and inspect platform KPIs.

Click Flow: Click **All Submissions** (view uploads) OR **Progress Monitoring** (audit completion grids) OR **System Analytics**.
9. Presentation Venues & Schedulers

Organize presentation halls, map panel assessors, schedule date-times, and generate daily reports.

Click Flow: Click **Manage Halls** (create venues) $\rightarrow$ Click **Seminar/Defense Allocation** $\rightarrow$ Assign hall, assessors, and student $\rightarrow$ Save.
10. Broadcast Announcements & Chat

Broadcast global administrative announcements and exchange real-time messages with any student or supervisor.

Click Flow: Click **Manage Announcements** $\rightarrow$ **Create Announcement** $\rightarrow$ Broadcast news OR Click **Chat** to message supervisors/students.
Administrator Duties: Platform parameters configuration, departments & guidelines settings, user accounts database audits, roles elevation, fee payments gating, supervisor assignments, seminar/defense event scheduling, and project submissions tracking.
1. System Parameters Settings

Configure global configurations, student profile edit permissions, and fee payment blocks.

Click Flow: Click **Settings** in the sidebar -> Toggle switches (e.g. *Allow Student Edit Profile*, *Force Group Payments*) -> Click **Save Settings**.
2. Departments & Program Streams

Configure academic faculties, departments, and map structural coordinators.

Click Flow: Click **Departments** in sidebar -> Add/edit faculties OR go to **Students** submenu -> **Manage Programs** to setup ND/HND streams.
3. Project Guide Management

Configure and upload PDF guidelines dynamically mapped to student departments.

Click Flow: Click **Project Guide** in sidebar -> Select department -> Browse to select your guide PDF -> Click **Upload Guide**.
4. User Databases & Batch CSV

Manage student & supervisor records, reset user passwords, and bulk register student lists via CSV rosters.

Click Flow: Go to **Students** submenu -> **Manage Students** (edit details) or **Import Students** (upload template CSV) OR **Supervisors** -> **Add Supervisor** for manual staff creation.
5. Assign Coordinators

Elevate supervisor staff to department coordinators or super coordinators.

Click Flow: Click **Manage Coordinators** in the sidebar -> Search supervisor name -> Choose coordinator role from dropdown -> Click **Update Role**.
6. Payments & Revenue Audit

Audit project fee transaction records, check totals, and manually override cash payments.

Click Flow: Click **Payments** in sidebar -> Review collections statistics -> Search Reference or Reg No -> Click **Mark as Paid** to manually override.
7. Manage Allocations & Latency

Map advisors to HND students or ND groups, and monitor supervisor activity latency.

Click Flow: Click **Manage Allocations** -> Select Student/Group and Supervisor -> Save OR **Supervisors** -> **Monitor Activity** to view response times.
8. Seminar & Defense Allocation

Configure oral presentation venues, schedule timeslots, map assessor panels, and print reports.

Click Flow: Click **Seminar & Defense** submenu -> **Manage Halls** (add room) -> Click **Seminar/Defense Allocation** -> Assign venue, assessors, and student -> Click **Save**.
9. Submissions Audit & Results

Read all uploaded student chapters, audit active project roadmaps, and review final grades.

Click Flow: Click **All Submissions** to view drafts -> **Progress Monitoring** to audit chapter grids -> **System Analytics** -> **Student Results Portal**.
10. Broadcast Announcements

Publish targeted administrative news alerts visible on student and staff dashboards.

Click Flow: Click **Announcements** in sidebar -> Click **Create Announcement** -> Fill details and target audience -> Click **Save Announcement**.
